Use Excel's AI to Summarize Quality Metrics and Identify Trends

What This Does

Excel's AI helps you quickly spot patterns and trends in your quality data — CAPA closure rates, deviation frequencies, OOS trends — and generates summary statistics and charts automatically, saving the manual analysis work you'd otherwise do before every management review.

Before You Start

  • Microsoft Excel is open with your quality metrics data in a table format
  • Your data has clear column headers (Date, Month, Product Line, Category, Count, etc.)
  • You have Microsoft 365 with Copilot, OR you can use the built-in Analyze Data feature (available in all recent Excel versions without Copilot)

Steps

1. Format your data as an Excel Table

  1. Click anywhere in your data range
  2. Press Ctrl+T (or click InsertTable)
  3. Confirm the table range has headers
  4. This enables better AI analysis

2. Access the AI analysis feature

With M365 Copilot:

  • Click the Copilot button in the Home ribbon
  • A sidebar opens where you can type analysis questions

Without Copilot (Analyze Data feature):

  • Click anywhere in your table
  • Click Home tab → Analyze Data (or Ideas in older versions) on the right side of the ribbon
  • Excel automatically generates charts, pivot tables, and insights

3. Ask for what you need

With Copilot, type questions like:

  • "Identify any trends in this CAPA data over the past 12 months"
  • "Which product lines have the highest deviation rates?"
  • "Show me month-over-month change in OOS events"
  • "What are the top 3 deviation categories by frequency?"

With Analyze Data: Review the auto-generated charts and summaries, click any chart to insert it into your spreadsheet.

4. Insert the charts and summaries

Click the suggested charts to insert them into your spreadsheet. Use these as the basis for your management review presentation or trend analysis report.

5. Ask Copilot to write a summary (if available)

Type: "Write a 3-sentence summary of the quality trends visible in this data, noting any areas that warrant investigation."

Real Example

Scenario: You have 12 months of monthly deviation data by category (Environmental, Equipment, Process, Documentation, Testing). You need to prepare the quarterly management review slide in 30 minutes.

What you do: Format as a Table → Open Copilot → Type: "Show me which deviation categories increased most in Q4 compared to Q3 and create a bar chart."

What you get: A bar chart comparing Q3 vs. Q4 by category, with a text summary noting that Environmental deviations increased 40% and Equipment deviations decreased 15% in Q4.

Tips

  • Copilot works best with clean, consistent data — fix any blank rows, merged cells, or inconsistent naming before analysis
  • The "Analyze Data" feature (no Copilot needed) is available to every M365 user and is significantly underused by QA teams
  • Combine this with the Level 1 Trend Analysis Narrative prompt: generate your charts in Excel, then paste the data summary into Claude to write the interpretive narrative

Tool interfaces change — if a button has moved, look for Analyze Data or Copilot in the Home or Data ribbon tabs.
