What This Does

Word's built-in AI rewrites your SOP sections for active voice, appropriate reading level, and clear numbered instructions — turning dense, passive-voice procedures into operator-friendly documents that pass document control review faster.

Before You Start

  • Microsoft Word is open with your SOP draft or existing document
  • You have Microsoft 365 (Copilot features require M365; basic Editor features work in older versions)
  • The SOP section you want to improve is pasted into the document

Steps

1. Open your SOP document in Word

Open the SOP file or start a new document and paste the procedure section you want to revise.

2. Select the section to improve

Highlight the procedure steps or paragraph that has passive voice, complex sentences, or unclear instructions.

3. Access the Rewrite or Copilot feature

  • With Microsoft 365 Copilot: Click the Copilot icon in the ribbon → select Rewrite → choose a tone (e.g., "Professional" or "Concise")
  • With Editor (all M365 versions): Click Review tab → Editor → check for clarity, conciseness, and passive voice suggestions
  • Copilot chat alternative: Click the Copilot button → type: "Rewrite this selection as numbered procedural steps in active voice at a 10th-grade reading level"

4. Review the suggestions

For Rewrite: compare AI version to original side by side. Look for:

  • Active voice: "Remove the filter" not "The filter should be removed"
  • Clear numbered steps rather than run-on paragraphs
  • Decision points made explicit: "If result is below 90%, notify supervisor. If above 90%, proceed to Step 6."

5. Accept changes and complete revision

Accept the AI rewrite for sections that improved; manually edit where the AI changed meaning. Run the final version through Editor's readability score to confirm reading level matches your operators' education level.

Real Example

Scenario: Your GMP cleaning verification SOP has this paragraph: "The cleaning of equipment should be conducted in accordance with applicable procedures and the results of testing should be evaluated by the Quality department to determine if such equipment can be used in subsequent manufacturing operations."

What you ask Copilot: "Rewrite this as clear numbered procedural steps in active voice, for an operator audience."

What you get: "1. Clean equipment according to Cleaning Procedure SOP-[XXX]. 2. Submit cleaning verification samples to the Quality department. 3. Quality reviews results and approves or rejects equipment for next use. 4. If approved: proceed to the next manufacturing step. 5. If rejected: initiate a deviation per SOP-[XXX]."

Tips

  • Run the clarity rewrite section by section rather than on the entire SOP at once — AI quality drops on very long documents
  • Have a subject matter expert verify that no procedural steps were dropped or reordered during the AI rewrite
  • Word's reading level score (visible in Editor → Document Stats) should be Flesch-Kincaid Grade 8-10 for most manufacturing SOPs
